SmartWMS (“SmartWMS”, “we”, “us” or “our”) provides cloud-based warehouse management software at www.smartwms.in (the “Website”) and the associated application (the “Service”). We are committed to protecting your privacy and handling your data transparently and in line with applicable data-protection laws, including India’s Digital Personal Data Protection Act, 2023.

By using the Website or Service, you agree to the collection and use of information in accordance with this policy.

1. Information we collect

Information you provide to us

• Enquiry & demo forms: when you contact us, request a demo, or start a free trial, we collect your name, work email, company name, phone number and any message you send.
• Account data: if you sign up for the Service, we collect account details such as your name, email, organisation, role and login credentials (passwords are stored only as salted hashes, never in plain text).
• Operational data: data you enter into the Service to run your warehouse (e.g. items, inventory, orders, suppliers, customers). You are the controller of this business data; we process it on your behalf to provide the Service.

Information collected automatically

• Usage & device data: IP address, browser type, pages visited, referring pages and timestamps, collected through analytics and server logs to keep the Service secure and to improve it.

2. How we use your information

• To respond to your enquiries, provide demos and set up trials.
• To provide, operate, maintain and secure the Service.
• To send transactional messages (e.g. account, billing and service notices).
• To send marketing about SmartWMS where you have opted in; you can unsubscribe at any time.
• To analyse usage and improve our Website, Service and content.
• To comply with legal obligations and enforce our terms.

3. Cookies & analytics

We use cookies and similar technologies to run the Website and understand how it is used. This includes Google Analytics 4, which sets cookies to measure traffic and page interactions in aggregate. You can control or delete cookies through your browser settings; disabling them may affect some Website features.

4. How we share your information

We do not sell your personal data. We share it only:

• With service providers who process data on our behalf under confidentiality obligations — for example cloud hosting, email/SMTP delivery, Google Analytics (usage measurement) and Google Calendar (to schedule demos you book with us).
• For legal reasons — where required by law, regulation, legal process, or to protect the rights, property or safety of SmartWMS, our users or others.
• In a business transfer — in connection with a merger, acquisition or sale of assets, subject to this policy.

5. Data retention

We keep personal data only for as long as necessary for the purposes described here, to provide the Service, and to meet legal, accounting or reporting requirements. When data is no longer needed, we delete or anonymise it.

6. Data security

We use technical and organisational measures — including encryption in transit (HTTPS), access controls and hashed credentials — to protect your data. No method of transmission or storage is completely secure, but we work to protect your information and continually improve our safeguards.

7. International transfers

Your information may be processed on servers located outside your state or country. Where data is transferred across borders, we take steps to ensure it remains protected consistent with this policy and applicable law.

8. Your rights

Subject to applicable law, you may have the right to access, correct, update or delete your personal data, to withdraw consent, and to object to or restrict certain processing. If SmartWMS processes data on behalf of a business customer, we will refer such requests to that customer, who acts as the controller of the data.

9. Children’s privacy

The Website and Service are intended for businesses and are not directed to children under 18. We do not knowingly collect personal data from children.

The Website may link to third-party sites (for example our blog at blog.smartwms.in or external services). We are not responsible for the privacy practices of those sites; please review their policies.

11. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, notify you. Continued use of the Website or Service after changes take effect constitutes acceptance of the updated policy.
